PHS Job 358 Office Coordinator, Administrator, Kensington. Salary: 400 GBP / week

Job Description
Ballet School is looking for a dynamic Office Coordinator to manage administration of the fast-growing ballet school headquartered in Kensington, London with additional responsibility for supporting the Board of Trustees of NK Ballet Foundation, a non-profit organisation helping young ballet and dance students of exceptional talent but limited means.

Key job functions:
• School schedule management
• Process of new students’ registration; post-recruitment support to ensure that all appropriate documentation (contract etc.) has been received
• Inputting absence data and providing accurate reporting when requested
• Extensive telephone and email contact with parents, staff and students, as well as outside parties (dance studios, contractors, suppliers etc.)
• Maintenance of all school and foundation contact databases and correspondence
• Raising purchase orders and invoices, preparing pay-in slips for banking and counting of petty cash
• Record and monitor payment receipt of school fees and communicate to
the School’s book-keeper
• Dealing with visitors to the School’s offices
• Responsibility for organising fitting sessions of ballet uniform and sales of ballet uniform and other ballet merchandise on behalf of the School
• Support and be physically present at all key School’s events and support the Foundation’s events as required
• General administration tasks
• Any other duties requested that are commensurate with the post

Key personal qualities
• Excellent organisational and verbal and written communication skills
• Complete fluency in English, speaking Russian would be an asset
• Ability to manager computer software systems associated with information and data management
• Ability to work autonomously, make decisions quickly and provide concise reports whenever necessary
• Professional, patient and optimistic demeanor
• Interest in ballet and/or dance would be an asset

Qualifications:
• Educated to degree level or equivalent

Experience:
• Relevant work experience in a similar role, either with a commercial institution or a charity/non-profit organisation
• Good knowledge of Microsoft Office Programs, including PowerPoint
• Experience of making detailed travel arrangements and creating and managing itineraries for trips and events
• Experience of working in a small but fast-paced office
